Questions for Evaluating a Bad News Letter
- Is the opening suitably indirect and positive?
- Does the writer explain the reason for the “no” clearly and reasonably and with the reader in mind—before stating the “no”?
- Does the writer state the “no” clearly?
- Does the writer evoke the reader’s goodwill at the end of the letter?
- Does the writer emphasize the “you attitude” throughout? Are the style and tone appropriate, conveying the impression that the writer is courteous, professional, easy to work with?
- Has the writer used white space and paragraphing effectively? Has the writer used an appropriate and consistent full-block format and page layout with all the necessary parts of the letter included?
- Has the writer used clear, concise, and contemporary language? Has the writer proofread effectively for grammatical, spelling, and punctuation errors?
