Questions for Evaluating Adjustment Letters that Say "Yes"

  1. Has the writer thanked the customer for writing, admitted immediately that the customer’s complaint is justified, and apologized?
  2. Has the writer stated precisely what will be done to correct the problem?
  3. Has the writer stated exactly what happened?
  4. Has the writer ended on a friendly, positive note?
  5. Does the writer emphasize the “you attitude” throughout? Are the style and tone appropriate, conveying the impression that the writer is courteous, professional, easy to work with?
  6. Has the writer used white space and paragraphing effectively? Has the writer used an appropriate and consistent full-block format and page layout with all the necessary parts of the letter included?
  7. Has the writer used clear, concise, and contemporary language? Has the writer proofread effectively for grammatical, spelling, and punctuation errors?
