Questions for Evaluating Adjustment Letters that Say "Yes"
- Has the writer thanked the customer for writing, admitted immediately that the customer’s complaint is justified, and apologized?
- Has the writer stated precisely what will be done to correct the problem?
- Has the writer stated exactly what happened?
- Has the writer ended on a friendly, positive note?
- Does the writer emphasize the “you attitude” throughout? Are the style and tone appropriate, conveying the impression that the writer is courteous, professional, easy to work with?
- Has the writer used white space and paragraphing effectively? Has the writer used an appropriate and consistent full-block format and page layout with all the necessary parts of the letter included?
- Has the writer used clear, concise, and contemporary language? Has the writer proofread effectively for grammatical, spelling, and punctuation errors?
